Agileflex: Card management platforms

A fleet fuel card management platform that gives petroleum distribution companies, logistics operators, and public sector fleets in Nigeria complete visibility and control over their fuel spend — from card issuance to transaction reconciliation.

The Challenge

Fleet managers and finance teams across Nigeria were operating with almost no real-time visibility into fuel spend. Cards were in use across dozens of vehicles and subsidiaries, but there was no structured system tracking where money was going, which cards were active, or whether transactions were legitimate. The Fuelling Agile operations team was equally constrained — managing multiple client companies from a fragmented back office, manually reconciling weekly bank transaction files, and with no reliable way to flag suspicious activity or trace a specific card's history.

Fleet managers had no single dashboard to monitor card balances, vehicle assignments, and spend across subsidiaries.
Transaction logs from two separate banks (Wema Bank and Providus Bank) were being manually reconciled with no automation or validation.
There was no structured mechanism to detect over-limit spend, duplicate transactions, or fuelling while a vehicle was stationary.
Admins had no clean way to onboard, manage, or offboard client companies at scale.

What I Worked On

Full UX audit of the V1 product and identification of structural gaps
Information architecture for both portals (client and admin)
All screen design across multiple views covering company management, card detail, transaction upload, deactivated accounts, and more
Collaboration with the engineering team to define data structures and upload routing logic

Design Showcase

The design focused on keeping things simple and clear so users can easily understand complicated information without feeling overwhelmed.

The Solution

The V2.0 redesign simplified the platform by splitting it into two separate workspaces. The Client Portal gives customers a private dashboard to track their own vehicles, manage fuel cards, and review spending. Meanwhile, the Admin Portal acts as a central control hub for the Fuelling Agile team to manage all client accounts, process bank transactions, and monitor the entire system for suspicious activity.

The Outcome

The V2.0 platform upgraded a manual, disconnected process into a reliable system for both the Fuelling Agile team and their clients. For the internal team, time-consuming tasks like matching bank files are now automated, and managing client accounts from start to finish is simple and fully tracked. For the clients, fleet managers now have a single, real-time dashboard to monitor their card balances, vehicle tracking, and spending. To ensure the project's long-term success, we built a complete design system for faster future updates and delivered a fully clickable prototype so stakeholders could test the product before developers wrote any code.
